Define Document Report Archive Settings

Explanation

Use this activity to change the report archive settings on a document title. It is possible to define what would happen to the previous revision of the document title, if there exists a previous revision, when the new revision is created. A new revision is created when the scheduled report has been executed.

Prerequisites

The Report should be executed in the IFS/Info Services.
A Document Title must have been created in IFS/Document Management and the document number should be entered in the Document No field in the Schedule Task Wizard in IFS/Info Services prior to the execution of the report.

System Effects

If any of the options below have been selected prior to the execution of the Report, after the execution the result will be as follows.

Option	Result
Set Previous Released revision to obsolete	The previous released revision will be set to obsolete and a new revision will be created.
Delete Obsolete Revisions	The previous obsolete revision will be deleted.
Don't Delete on Parameter Change	The previous obsolete revision will not be deleted, if there had been a parameter change on the scheduled report since the report was last executed.

Procedure

Open the Document Titles window.
Query for the relevant document title, and click on the Change report archive settings right mouse button menu option. The settings will apply only after the report has been executed in IFS/Info Services. Therefore, define the settings before executing the report.
To have the previously released document revision made obsolete, select the Set Previous Released revision to obsolete check box in the Report Archive Settings dialog box that appears and click the Save button.
To have the previously obsolete document title revision deleted, select the Delete Obsolete Revisions check box in the Report Archive Settings dialog box that appears and click the Save button.
Selecting the Don't Delete on Parameter Change check box will not delete the previous obsolete document title revision, if a parameter change on the report has been done from IFS/Info Services. Even if the Delete Obsolete Revisions check box is selected along with the Don't Delete on Parameter Change check box, the previous obsolete document title revision will not be affected. The Don't Delete on Parameter Change check box will be enabled when the Delete Obsolete Revisions check box is selected.
