Cleaning Up Inventory Records
Explanation
This activity is used to remove location records created for inventory parts that have a zero quantity on-hand and are not frozen. This activity is performed prior to generating a count report.
Records pertaining to receive inventory
part and issue inventory part transactions will be deleted through this
operation. This
is useful, for example, when the part becomes obsolete or
the warehouse no longer exists.
Location records for both serialized or configurable
parts will be deleted through this operation. You can specify the number of days
prior to today's date (i.e., system date) and the site for which the records should be removed. The last
transaction date for the location of the inventory
part is
used to determine if a cleanup should be performed.
Default settings can be used by selecting the Default
feature. Default settings are derived from the Task Registration
window in IFS Admin, which is set by the administrator.

System Effects
- All records with an on-hand quantity of zero and a last transaction date prior to the the number of days specified in the Days
Before Current Date field, are removed from the Receive Inventory Part and
the Issue Inventory Part
windows.
- If you have scheduled the task as a background job, the
task will be automatically performed based on defined selection criteria.

Procedure
You can either perform a cleanup of inventory records directly (procedure
A),
or schedule the task as a background job (procedure B).
A. To perform a cleanup of inventory records
directly:
- Open the Cleanup of Inventory dialog
box.
- Enter a value in the Site field or
click List to select one from the List of Values. If you enter the wildcard
character (%), records from
all the available sites defined for the user will be included.
- If you want to perform the cleanup for a specific project, enter a value in the
Project ID field or
click List to select one from the List of Values. You can include
multiple projects by using wildcard characters. If you enter the wildcard
character (%), all records will be included regardless of whether they are
in project or standard inventory.
- Enter a value in the Days Before Current Date field. Inventory records created before the specified number of days (prior to today's date) will be deleted.
- In the Specified Location Type group box,
click No, include all location types to remove records in all location types, or
click Yes to specify the location type for which the records should
be removed.
- To remove the records created for the parts with serial numbers,
select the Serial Numbers Only check box. To remove the records created for
the parts with configurations,
select the Configurations Only check box. Select both check boxes to remove
the location records for the parts containing both serial numbers and configurations.
- Click OK to perform the operation.
Note: Click Default if you want to use
the default settings.
B. To Schedule a cleanup of inventory records
as a background job:
- Click Schedule and follow the steps of the wizard.
