Enter Customer Contacts

Explanation

This activity is used to connect a contact person to a customer.

There are no prerequisites.

If the contact is not already defined as a person, the contact will be registered in Person.

Procedure

  1. Open the Customer window and query for the customer.
  2. Select the Contacts tab and a new record.
  3. Enter the Person ID manually or via the List of Values.
  4. If applicable, enter a role for the person in the Role field.
  5. If you want, you can enter a specific Customer Address manually or via the List of Values.
  6. If you want, you can enter a specific Contact Address manually or via the List of Values.
  7. If you want, you can set the contact as customer primary and/or customer secondary by selecting the Customer Primary and/or Customer Secondary check boxes.
  8. If a Contact Address has been entered you can set the address as an address primary and/or address secondary by selecting the Address Primary and/or Address Secondary check boxes..
  9. If you want, you can enter a note in the Note Text field.
  10. Save the entry.

To enter a customer contact by finding a person already defined in Person or by defining a new person in Person:

  1. Open the Customer window and query for the customer.
  2. Select the Contacts tab.
  3. Right-click and then click Add Contact to open the Add/Create Contact dialog box.
  4. Enter the name of the contact in the Name field and if required enter the role of the contact in the Role field.
  5. If required, specify a customer address ID in the available field. You can manually enter an address ID or select one from the list. Select the person from the List of Values and click Select or enter a person manually and the person will be added to Person.
  6. If you want to copy this address to the entered contact person, select the Copy Address to Contact check box.
  7. Click OK to find any persons already defined in Person. The system will make a check for possible duplicates based on what has been entered in the name field. If one or more possible matches are found they will be displayed in the bottom part of the Add/Create Contact dialog box.
  8. If one or several possible matches are found and one of them is the person you want to use as a contact, select the corresponding row and click Select. A new contact is now created and a connection to the existing person is made.
  9. If no possible matches are found click OK to create a person in Person and to enter the person as a contact person for the customer.

Note: If you click OK before clicking Find, the system will check for possible duplicates. If there are no matches, a new contact is created and entered. If matches exist, step 8 is performed.
