Define Sign Off Requirements for Instruction and Subtask

This activity is used to define signature requirements for instructions and subtasks.

It is common to have requirements on the skills required to sign off the work that has been performed. These requirements apply to the level at which the work was planned and performed, i.e., at the instruction level or subtask level. Following is a list of the sign off requirements that can be defined for instructions and subtasks:

These sign off requirements can be defined on the instruction or subtask using any one of the following combinations:

It is possible to define sign off requirements for both the instruction and connected subtasks. Note: When executor sign off is used in combination with inspector sign off or independent sign off, it is necessary to have two different persons signing off the operation (instruction or subtask) or subtask on the work order. If the combination of executor, inspector and independent sign off is used, it is necessary to have three different persons signing off the operation on the work order.

If IFS Human Resource is installed, it will be possible to specify a user license for executor, inspector and independent sign offs. When a license is specified, the person signing off each operation (instruction or subtask) on the work order will be validated against the qualifications set up in IFS Human Resources, to verify that he or she has the necessary license to perform the sign off. Defined licenses will be transferred to the work order operation when maintenance tasks are released. If IFS Human Resource is not installed, you need only determine whether sign off is required or not. In this case, the person reporting the work order operation will be required to sign off the operation. This person's user identification will be retained in the system, but validations will not be performed.

If inspection requirements exist for instructions or subtasks, it will be possible to define an inspection description when defining signature requirements. These inspection descriptions are applicable to the inspections, i.e., inspector sign off and independent sign off. Defined inspection descriptions will be transferred to the work order operation when maintenance tasks are released.

Procedure

To define signature requirements for instructions:

  1. Open the Instruction window.
  2. Populate (F2) or query (F3) for the desired instruction.
  3. Click the Sign Off Req. tab and create a new record (F5).
  4. In the Sign Off Requirement Type field, select the required sign off requirement type. Valid values are: Executor, Inspector and Independent.
  5. If a license is needed, enter this in the License Name field. Use the List of Values to select a valid value.
  6. If needed, enter an inspection description in the Inspection Description field.
  7. Save the record (F12).

To define signature requirements for subtasks:

  1. Open the Subtask window.
  2. Populate (F2) or query (F3) for the desired subtask.
  3. Click the Sign Off Req. tab and create a new record (F5).
  4. In the Sign Off Requirement Type field, select the required sign off requirement type. Valid values are: Executor, Inspector and Independent.
  5. If a license is needed, enter this in the License Name field. Use the List of Values to select a valid value.
  6. If needed, enter an inspection description in the Inspection Description field.
  7. Save the record (F12).
