BENEFITS
  • A Microsoft Excel report exported without BA features from an executed BA report can be accessed by users that do not have IFS Business Analytics installed.
  • Executed BA reports can be archived in the database.
  • Data from the Excel Report can be imported to the original BA report.

    For example, The Microsoft Excel report can be sent to a user to modify data values. These modified data values can be imported back to the original BA report. Data values that are imported can be written back to the IFS database using the Writeback functionality.

EXPORT EXCEL REPORT
  • A Microsoft Excel report can be exported from the End User mode of IFS Business Analytics
  • When a BA report is executed, the result can be exported to a Microsoft Excel report in order to be distributed to users that do not have IFS Business Analytics installed.
  • The exported Excel report can be saved on the disk and/or attached to an email (MS Outlook):

EXPORT EXCEL REPORT FOR LATER IMPORT
  • Excel reports with modified data values canbe later imported to the original BA report
  • If Export to Excel Report for Later Import is selected, Save BA report to Archive option in the Save BA Report tab is automatically selected. This is to ensure that the original BA report is saved in the BA Export Archive to be used when importing values from the  Microsoft Excel report.

SAVE BA REPORT
  • Save BA report in BA Export Archive
    • This is required if data will be imported from the Microsoft Excel Report to the BA report.
    • The BA report is saved with the last retrieved dataset.
  • Save BA report on disk
    • The disk location and the file name has to be entered.
  • BA report saved parallel to the Microsoft Excel report
    • This eliminates the risk of losing the BA report design.

BA EXPORT ARCHIVE
  • The original BA Report gets archived when exporting the Microsoft Excel report
  • The BA Export Archive is used when importing values from Microsoft Excel reports to BA reports
    • When importing values from the Microsoft Excel report, the corresponding original BA report can be retrieved automatically from the archive.
    • The original BA Report can be used with the original dataset during import or it can be re-executed to fetch the latest dataset.

BA EXPORT ARCHIVE
  • The executed BA reports saved in the archive can be opened in IFS Business Analytics client or downloaded to a disk location.
  • Reports in the archive are automatically removed based on their expire dates.
  • It is possible to control user access to the archived BA reports.

IMPORT FROM EXCEL FILE
  • Imports data from cells of the Microsoft Excel report (source) to the corresponding cells of the BA report (target).
    • The Microsoft Excel report can be viewed and it’s data values may be modified by users without IFS Business Analytics installations.
    • These modified data values can be imported to the original BA report.
    • Once modified data values are imported to the BA report, they can be written back to the IFS database where writeback is allowed (e.g. to Budget Template Transactions)

IMPORT FROM MICROSOFT EXCEL FILE
  • The source Microsoft Excel report must be a report that was originally exported from a BA report.
  • The target BA report must be the original BA report that was used to export the Microsoft Excel report
  • The target BA report can be:
    • Already open in IFS Business Analytics
    • Automatically fetched from the BA Export Archive with the original dataset
    • Automatically fetched from the BA Export Archive after being re-executed to fetch the latest data.
