Specifying Supplier Invoice Information

This step is optional/mandatory.

You must have at least one entry in the Supplier Groups window if you want to group suppliers into specific categories for query and report purpose. Supplier group can be used as control types in posting control.

If you require payments to be authorized by a second party, you must set up payment authorizers in the Invoice Payment Authorizers window. The authorizer is connected to a user ID and a maximum amount for the authorizer can be defined.

Supplier Invoice Types are used for linking a special type of supplier invoice, e.g., manual supplier invoice (SUPPINV) to a certain invoice series (SI). A invoice series must be first defined in the Invoice Series window. Some default supplier invoice types are generated automatically during company creation.

The Preliminary Codes window can be used as the control type for posting type IP5 to post preliminary costs for supplier invoice.

The Report Codes for Tax Lines, Withholding window is used to define and maintain the report codes necessary to report tax withholdings separately for federal and state purposes. This is applicable for US specific companies only.

If the country the supplier is in requires national bank codes to be used when making cross border payments, you must set up them in the National Bank Codes window. The National Bank Code is used when entering invoice information for a supplier and one code will be valid for the entire invoice.

Finally, you will have to enter these information for the supplier in the relevant tabs in the Supplier window. In the General tab, you must select the supplier type and the group to which the supplier belongs to from the supplier groups entered in the Supplier Groups window. The payment term of the supplier should also be specified. The identity of the supplier to which the invoice is sent to (if the invoice is sent to a separate supplier) is also can be specified. Tax information for the supplier is specified in the Tax Information tab which includes the tax regime of the supplier, the tax liability of the supplier (whether the supplier is liable for tax or exempted) as well as the default tax code to be used with the supplier. If you want to set up tax withholding information for the supplier you can use the right mouse button option Tax Withholding/Reporting to reach the Tax Withholding/Reporting window and set up the required information such as supplier income types, state tax information for the supplier and the default tax withholding codes.
