Initial Exercises
Purpose: The purpose of these initial exercises is to
introduce you to the basic functionality in Organization Administration, which entails:

These Initial Exercises are intended for
instructor use.
If you are a student, it is extremely important that you set
up and work within your own company to maintain your data integrity.
If you work within any other company, you will compromise your own
exercise data as well as the data of other students. Predictable
exercise results require that your data be isolated in your own
company. |
Create and Maintain Organization Codes
Purpose: The purpose of this exercise is to show you how to create and maintain the
organization structure.
Windows:
Graphical Organization Structure
Note: This exercise involves the creation of one new
organization code: Production Department XX. Organization
codes can also be created and maintained in the
Organization Units window.
- Populate the Graphical
Organization Structure window.
- Select the Manufacturing department (organization code B-MFG).
- Place the cursor in the Organization Code field and press F5 to create a
new organization code.
- Enter an organization code ID using the format P-01… P-XX, where XX
is the number of your production department.
- In the Org Name field, enter the following description:
Production Department XX.
- Connect the new organization code to the Department organization level.
- Change the Valid From date to 01/01/2001.
- Connect the new organization code to Cost Center 410, or as specified by
the instructor.
- If you cannot see your new organization code, right-click and then click
Refresh Node.
- Drag your new organization code from the Manufacturing department to below
the Production department (organization code B-MFG-1). Refresh Node and view
the new structure.
Note: You can also view the changes in the organization structure in the
Organization Structure window.
Create and Maintain the Position Structure
Purpose: The purpose of this exercise is to show you how to create and maintain the
position structure.
Windows:
Graphical Position Structure
Note: This exercise includes the creation of two new positions: Production Foremen
and Production Workers. Positions can also be created and maintained in the
Positions window.
- Populate the Graphical
Position Structure window.
- Select the position that matches your department (PROD-01…PROD-XX).
- Press F5 to create a position for the production foreman.
- Enter a position ID for the production foreman in the format
FORE-01…FORE-XX for Foremen, Prod. Dept. XX.
- In the Position Title field, enter the following description:
Foreman, Prod Dept XX.
- Connect the new position to your production department organization code
(P-XX) that you created previously.
- Set the position to be valid between 01/01/2002 and 31/12/9999. Save your changes.
- Right-click and then click Refresh Node if you cannot see your new
position.
- Repeat steps 2–4 for the position to be used for production worker, e.g.,
Position WORK-01…WORK-XX for Workers, Prod. Dept. XX.
- Drag the production worker position below the that of the foreman.
Populate the window, and view the structure.
Note: You can also view changes in the organization structure in the
Position Structure
window.
- If you did not previously connect the positions to jobs, do so now. There are jobs matching foreman and worker.
New Authority Attributes
Purpose: The purpose of this exercise is to show you how to create and maintain
authority attributes.

Position Authority Levels
Note: The authorization attribute has two purposes:
specifying the application components in which the authorization rights are valid, and
indicating the strength of the authorization rights (the higher the value, the stronger
the rights).
- Create two new authority attributes: one for your own position as
production supervisor, and another for the department foreman. Name them after
your department, e.g., SUPERV-XX and FOREMAN-XX.
- The supervisor should have the value 60 for the Time & Attendance and
Travel Expense attribute codes.
- The foreman should have the value 40 for the Time & Attendance and Travel
Expense attribute codes. (The supervisor should be able to correct
authorizations made by the foreman.)
New Position Access Definition
Purpose: The purpose of this exercise is to show you how
to administer the authority structure.
Windows:
Position Access
Note: The position access definitions identify the
position or positions that another position will be able to access within IFS Human Resources.
- Populate and change the Authority Attribute of your own position as
production supervisor (PROD-01…PROD-XX) to the new authority attribute you
created for supervisors (SUPERV-XX). The production supervisor is allowed to
authorize his or her own position and should be able to access all positions
below it.
- Save your changes. Click Yes when prompted to indicate whether you
want to generate the authority structure.
- Create a new row for your production foreman position (FORE-01…FORE-XX).
- The production foreman is allowed to authorize only positions below his or
her own position.
- Connect the authorization attribute for production foreman (FOREMAN-XX).
Save your changes.
- Look at the graphical structure for your positions, and verify that the
access result was correctly generated.
