Create and Maintain the Position Structure

Purpose: The purpose of this exercise is to show you how to create and maintain the position structure.

Windows:
Graphical Position Structure

The exercise includes the creation of two new positions: Production Foremen and Production Workers.

Note: Positions can also be created and maintained in the Positions window.

  1. Populate the Graphical Position Structure window.
  2. Select the position that matches your department (PROD-01…PROD-XX). 
  3. Press F5 to create a position for the production foreman.
  4. Enter a position ID for the production foreman in the format FORE-01…FORE-XX for Foremen, Prod. Dept. XX.
  5. In the Position Title field, enter the following description: Foreman, Prod Dept XX.
  6. Connect the new position to your production department organization code (P-XX) that you created previously.
  7. Set the position to be valid between 01/01/2002 and 31/12/9999. Save your changes.
  8. Right-click and then click Refresh Node if you cannot see your new position.
  9. Repeat steps 2–4 for the position to be used for production worker, e.g., Position WORK-01…WORK-XX for Workers, Prod. Dept. XX.
  10. Drag the production worker position below the that of the foreman. Populate the window, and view the structure.

Note: You can also view changes in the organization structure in the Position Structure window.

  1. If you did not previously connect the positions to jobs, do so now. There are jobs matching foreman and worker.

Export Position Structure to Organization Chart

Purpose: The purpose of this exercise is to show you how to export a position structure which can be used to create an organization chart.

Windows:
Graphical Position Structure

  1. Open the Graphical Position Structure window.

  2. Select the position PROD (Manager of Production) in the tree navigator.
    Note: Expand this node and view the position hierarchy in the production department as valid on the system date. Position PROD is hereby the root position in the position hierarchy in this department.

  3. Right-click and click Export Structure to open the Export Structure dialog box.

  4. Click Browse and select a path in the File Path field where the export file should be saved.

  5. Click OK to export the file.

    Note: Third party tools can be used to create an organization chart for the production department by using the export file.

New Authority Attributes 

Purpose: The purpose of this exercise is to show you how to create and maintain authority attributes.

Note: The authorization attribute has two purposes: specifying the application components in which the authorization rights are valid, and indicating the strength of the authorization rights (the higher the value, the stronger the rights).

  1. Create two new authority attributes: one for your own position as production supervisor, and another for the department foreman. Name them after your department, e.g., SUPERV-XX and FOREMAN-XX. 
  2. The supervisor should have the value 60 for the Time & Attendance and Travel Expense attribute codes. 
  3. The foreman should have the value 40 for the Time & Attendance and Travel Expense attribute codes. (The supervisor should be able to correct authorizations made by the foreman.) 

New Position Access Definition 

Purpose: The purpose of this exercise is to show you how to administer the authority structure.

Position Access

Note: The position access definitions identify the position or positions that another position will be able to access within IFS Human Resources.

  1. Populate and change the Authority Attribute of your own position as production supervisor (PROD-01…PROD-XX) to the new authority attribute you created for supervisors (SUPERV-XX). The production supervisor is allowed to authorize his or her own position and should be able to access all positions below it.
  2. Save your changes. Click Yes when prompted to indicate whether you want to generate the authority structure.
  3. Create a new row for your production foreman position (FORE-01…FORE-XX).
  4. The production foreman is allowed to authorize only positions below his or her own position. 
  5. Connect the authorization attribute for production foreman (FOREMAN-XX). Save your changes.
  6. Look at the graphical structure for your positions, and verify that the access result was correctly generated.
