Managing Sales Quotation—Exercises

IMPORTANT
If you are a student, it is extremely important that you set up and work within your own site to maintain your data integrity. If you work within any other site, you will compromise your own exercise data as well as the data of other students. Predictable exercise results require that your data be isolated in your own site.

Basic Data Setup

Enter Customer

Purpose: The purpose of this exercise is to enter the customers requesting a sales quotation from your company.

Windows:
Customer

  1. Enter C.S.C. New York as customer with customer number XX1000.
  2. Enter C.S.C. Oslo as customer with customer number XX1001.

Enter Quotation Number Series

Purpose: The purpose of this exercise is to enter the quotation number series.

  1. Enter the first quotation number in the series.

Create Stored Sales Parts

Purpose: The purpose of this exercise is to enter the sales parts used in this exercise.

  1. Enter Race Car as Sales Part and with XX18-100 as Sales Part No.
  2. Enter Street Car as Sales Part and with XX18-300 as Sales Part No.
  3. Enter Ferrari Car as Sales Part and with XX18-200 as Sales Part No.
  4. Create relevant Inventory Locations.
  5. Create corresponding Inventory Parts
  6. Receive a sufficient number of parts of each into stock.

Purpose: The purpose of this lesson is to understand how to create a sales quotation for different customer types.

Sales Quotation to an Existing Customer

C.S.C Oslo normally only buys Street Cars, but is considering starting to sell the Race Car. They therefore ask for a quotation on 10 Race Cars XX18-100. IFS Racing decides to send a quotation with the following terms: regular price, free delivery, expiration date within a month, and follow-up date within a week. C.S.C. Oslo has told IFS Racing that they will send a request for quotation to two other vendors of race cars, Anderson Racing US (20) and Duncan Independent Cars. (30).

  1. Enter a sales quotation with customer type normal, customer C.S.C Oslo and wanted delivery date within three months in the Sales Quotation header.
  2. Enter an expiration date and follow up date.
  3. Enter the known competitors.
  4. Enter relevant delivery information.
  5. Create a quotation line and indicate the sales part number and the quantity.
  6. Release the quotation.
  7. Print the quotation.

Note: Assume that C.S.C. Oslo rejected the quotation because they had received a better price from Anderson Racing US.

  1. Enter to whom IFS Racing lost the quotation and the reason why, by selecting Lost Quotation... in the Operations menu in the header.
  2. View the status in the header and in the Quotation History tab.

Sales Quotation to a Prospective Customer

C.S.C. Group has a new branch in Melbourne, Australia. This newly established company is now considering buying Street cars and Ferrari cars.

  1. Open the Customer window and search for customer number XX1000, C.S.C. New York.
  2. Select the Order/General tab, mark the Template Customer check box and enter XXTCSC as the template description.
  3. Open the Sales Quotation window.
  4. In the quotation header, enter customer type prospect, customer name C.S.C. Melbourne, wanted delivery date within 3 months and currency USD.
  5. Select a language code in the General tab and save the header.
  6. Enter address information in the Customer Address tab.
  7. Enter the relevant delivery information in the Delivery Information tab.
  8. Enter applicable information, such as expiration date and the follow-up date, in the General tab.
  9. Enter the first quotation line, using sales part XX18-300, quantity 15.
  10. Enter a second quotation line, using sales part XX18-200, quantity 12.
  11. Release the quotation.
  12. Print the quotation.

Note: Assume that the prospective customer XX1160 C.S.C. Melbourne approves the quotation because IFS Racings products are the best quality on the market.

  1. Select Create Order from Quotation in the Operations menu in the header. Select the appropriate order type and the reason why IFS Racing won the quotation in the Create Order from Quotation window.
  2. Transform the prospective customer in the Create Customer Wizard - Template Customer window by following the instructions. Use XXTCSC as the template customer. Enter XX1160 as the New Customer ID.
  3. Make a note of the customer order number.
  4. View the status in the header and in the Quotation History tab.
  5. View the created customer order by marking the first quotation line and choosing Select Customer Order in the Operations menu.
  6. Review the customer order.
