Connect Operations to Work Order

Explanation

This activity is used to plan the operations required to complete a work order. If the work should be executed by different maintenance organizations, crafts and/or individuals you may consider dividing the work into multiple tasks by entering one operation line for each task. At creation, the operation will receive the New status.

Operations can be planned on any of the sites that belong to the same company as the work order (provided the user is connected to the site). 

On each operation line you can enter a work description, maintenance organization, craft, planned men, and planned hours. You can also enter a date from and date to, to indicate when the task should be executed. Adding a date on the operation line is important if you wish to schedule the operations in the Gantt Scheduler.

If the work order is going to be invoiced to a customer (service order), you should also make sure that a sales part is connected to the operation line. A sales part is automatically added if you connected a sales part to the craft ID or maintenance organization in the Organization Basic Data window.

When IFS/Vehicle Information Management is used, operations and subtasks will be connected to the work order at the time the maintenance order is released. These operations and subtasks will receive the New status automatically. The New operation status is intended for allocation of resources at an early stage of the process for preparing a work order.

Procedure

  1. Open Prepare Work Order, Prepare Work Order Quotation/Prepare or the Work Order Execution Logic window.
  2. Click the Operations tab and create a new record (F5). The user's default site is displayed in the Site field. Use the List of Values to select another site to which the user is connected, if appropriate.
  3. In the Operation No. field, enter a unique number for the order of operations. Optionally, you can leave this field blank and a value will be assigned automatically. 
  4. Enter a work description. 
  5. Enter an employee identity if appropriate. Values for the Maint. Org. and Craft ID fields will be automatically retrieved. You can change these values if necessary. Change the value in the Maint. Org. Site to select an employee from a different site.
  6. You can also specify either a maintenance organization or a craft that should perform the operation (without specifying an employee). Change the site of the maintenance organization if you want to get values from a different site. Use the List of Values to select suitable values. 
  7. Enter the site and the ID of the maintenance team in the Team Site and Team ID fields if you want the operation line to be performed by members of a particular maintenance team. Use the List of Values to select a suitable value. 
  8. Enter the number of men and hours planned for each operation line, if appropriate. If the operation is to be executed by a single employee, enter the signature of the employee in the Executed By field (Note 1: Assigning a single employee to an operation is known as Single Allocation). Note 2: If you are using IFS/CBS to schedule the operation line you can leave this field blank if you want the CBS server to allocate an employee or enter a value to indicate to the CBS server that this particular employee must execute the operation.
  9. Enter the sales part site and sales part if you want to invoice the price of the operation to the customer. Specify a discount if applicable (only applicable for IFS/Service Management). 
  10. Organize the operation lines according to the jobs if required. Operation lines can be connected to the jobs using one of the following methods:
  1. Enter a date interval for the operation and information on tools, if appropriate. Note: If you are using IFS/CBS to schedule the operation line please leave the date fields blank.
  2. Enter the instruction type and location (only applicable for IFS/Vehicle Information Management). Use the List of Values to select a suitable value. 
  3. In the Internal Remark field, you can enter internal information on the operation. This can be, for instance, handover information between shifts.
  4. Optionally, enter a signature requirement in the Sign Off Requirements tab. Create a new record (F5) and enter the Sign Off Requirement Type. If IFS/Human Resources is installed, a user license can be defined by using the List of Values. Note: It will not be possible to create new signature requirements for work orders with connection type VIM. For these type of work orders, signature requirements will be transferred automatically from IFS/VIM.
  5. Save the information (F12).
