Search For and Allocate Employees

Explanation

Use this activity to search for and allocate employees to the operations planned on a work order. Note: If the work order is scheduled using IFS/CBS, resources will be allocated automatically.

Prerequisites

Operation lines should exist on the relevant work order to perform this activity.

System Effects

As a result of this activity one or more employees will be allocated to an operation.

Procedure

  1. Open the Prepare Work Order window and query for an existing record (F3).
  2. Create operation lines if none exist.
  3. Enter details based on your requirement.

To manually allocate employees:

  1. Create a new record in the lower section of the tab.
  2. In the Allocation No. field, enter a unique number for the order of allocations. Optionally, you can leave this field blank and a value will be assigned automatically.
  3. Enter (or select from the List of Values) the signature of the employee who is to be allocated in the Executed By field as well as the number of hours required for the allocation in the Allocated Hours field.
  4. Enter the start and end dates for the allocation in the Planned Start and Planned Finish fields.
  5. Enter values in the rest of the fields as required. Use the List of Values to select suitable values.
  6. Repeat steps 1 - 5 as required.
  7. Save the information (F12).  

To search and allocate employees:

  1. Right-click on the operation line and then click Allocate Employees. The Allocate Employees window opens. The fields on the window will be populated based on the information entered on the operation line.
  2. Enter additional details or change the existing ones according to your requirement. Use the List of Values where applicable.
  3. Select the Exclude Schedule check box if the employee is considered to be available twenty four hours a day.
  4. Clear the Include Sub Craft check box if you want to exclude the sub crafts (if applicable) in the search. Note: The Include Sub Craft is selected by default if the craft contains a structure.
  5. Select the Show All check box if you want to view all the employees who fulfill the search criteria regardless of their availability.
  6. Click Search.
  7. Click the Allocate Employees/Results tab and select the Allocate check box against the employees that should be allocated to the operation (alternatively you can select multiple rows, right-click and then click Allocate).
  8. Click OK
