Use the Resource Capacity Calculation window for calculating the consumption of resources for a single project or a set of projects. You define the project(s), select early or late dates, and for which period you want the results to be accumulated. A set of the previous definitions is called a calculation and has its own calculation identifier. If you use late dates, you must make sure that all activities with resources connected have late dates defined. The period is either weekly or monthly. When viewing the results in Resource Capacity Summary Graph the period is used as the x-axis. The graph will show you an overview of the consumption of resources for all periods. All resources used can be displayed. When clicking directly at the graph bars, you will receive detailed information about that specific period.
The planning will show you which period is overloaded, and you will find out if you have enough resources for the project(s) defined.
It is important that the resource groups in use have updated information about capacity. Otherwise, you will receive an incorrect result concerning capacity consumption. You can view and enter capacity information using the Resource Group window.
If an activity is outside all capacity periods, available hours are set to zero (0) and all activity hours are set equal to the overload hours. If the activity is partly or totally inside a period, the available hours are set to the total of capacity hours that are located within the resource period(s). The activity hours will be distributed evenly over the resource period. Keep in mind that the resource group also has a calendar and that the calendar is used to filter out workdays and non-workdays. Work will only be carried out on workdays. To prevent problems with resource groups having periods that exceed the calendar, be sure that your calendar is extended enough. It is not possible to distribute hours outside the calendar.
The resource capacity calculation is started in the Resource Capacity Calculation window using the menu choice Process Project. The date generated will be set after a successful calculation. You can recalculate at a later stage, but this will result in overwriting the old results. If you do not want this to happen, you must create a new calculation with the same projects, date type, and period type.
The calculation can be deleted whenever you desire.
