Add Authorizers Manually

Explanation

Use this activity to manually add authorizers to the posting proposal. Normally, authorizers are added to all the posting lines by using the authorizer assigning rules and authorizer routing rules when the company is set up. If no authorizers have been added for the posting lines, then they must be added manually. Authorizers can be added either to all the posting proposal lines, or a specific line in the posting proposal. 

Prerequisites

Invoice posting authorizers should exist in IFS Financials, Invoice Posting Authorizers window.

System Effects

As a result of this activity, authorizers will be manually added to the posting lines, and the invoice will be ready for final posting.

Procedure

  1. Open the Posting Proposals window.
  2. Populate or query for the posting proposal for which you would like to add authorizers.
  3. Select the record, right-click and then click Posting Proposal. The Posting Proposal window opens. 
    Note: This window can also be opened by right-clicking on the Manual Supplier Invoice window and then clicking Posting Proposal.
  4. Click the Authorize tab. You can then choose to either add an authorizer for all the lines in the posting proposal or for one specific posting line in the posting proposal. 

To add an authorizer for all the lines in the posting proposal:

  1. In the Authorize Summary table, click New.
  2. The identity of the company for which the voucher is created on the invoice, is displayed in the Voucher Company field. You can modify the company value if necessary.
  3. Specify the identity of the user that you want to add as an authorizer in the Authorizer field. The name and the role of the authorizer automatically appears in the relevant fields. You can change the role of a user (whose acting as an authorizer), to Acknowledger in the Role list.
  4. The status of the authorization will be displayed in the Authorization field. When the user authorizes or acknowledges the posting information, then the status will be changed as appropriate.
  5. The Amount in Acc. Curr. field will show the total amount that will be authorized or acknowledged by the user.
  6. Save the information. 

To add an authorizer for a specific line in the posting proposal:

  1. In the Authorize Details table, click New.
  2. In the Row ID field, enter the identity of the posting proposal line for which you want to add an authorizer, or select one  from List of Values.
  3. Enter the sequence order of the specific authorization if the invoice is to be sent for authorization on a consecutive basis. This is specified in Enterprise/Company/Invoice/Supplier Invoice Workflow by selecting Use Consecutive Authorization from the Authorization Routing list.
  4. You can modify the company value used to create the voucher in the Voucher Company field, if necessary.
  5. Specify the identity of the user that you want to add as an authorizer in the Authorizer field. The name and the role of the authorizer automatically appears in the relevant fields. You can change the role of a user (whose acting as an authorizer), to Acknowledger, in the Role list.
  6. Save the information.

Note: The other fields in the table is for informational purposes only and will not be possible to modify.
