Adjust Authorizers

Explanation

This activity is used to change the authorizers or modify any information with regard to an authorization assigned to the posting proposal. This activity is also used when a wrong authorizer is connected to a posting line. If the company requires the Two Authorizers Required check box to be selected on the Supplier Invoice Workflow/General tab in Enterprise/Company/Invoice, it will be required to have two authorizers for each posting line or when the posting exceeds a specific limit. (For this, a value in the Amount that Requires Two Authorizers field must have been specified.)

Authorizers can be removed if they have not performed the authorization of the posting. Similarly, acknowledgers can be removed if they have not acknowledged the posting line. When an authorizer is removed from the Authorize Summary section, all the authorization lines included in the summary line will be removed. If you want to remove an authorizer who has already authorized several or all the posting lines, you should remove the authorization before removing the authorizer by using the Cancel right mouse button option.

Procedure

  1. Open the Posting Proposals window.
  2. Populate or query for the posting proposal for which you would like to add authorizers.
  3. Select the record, right-click and then click Posting Proposal. The Posting Proposal window opens. 
    Note:
    This window can also be opened by right-clicking on the Manual Supplier Invoice window and then clicking Posting Proposal.
  4. Click the Authorize tab. You can then choose to either add an authorizer for all the lines in the posting proposal or for one specific posting line in the posting proposal.
  5. In the Authorize Details section, select the posting line for which you want to change the authorizers.
  6. Change the information as required.
  7. Save the information.

Note: If you change any information in the Authorize Summary section, all relevant lines connected to the summary information line will be automatically adjusted accordingly. For example, if you change the user role in a summary line from Authorizer to Acknowledger, then all the connected lines for the user will have the role of Acknowledger instead of Authorizer.
