Basic Data Setup
Main Exercise(s)
Purpose: To learn how to create and administer employees in
the Employee window

- Populate the
Employee. Start by viewing your own employee number.
A this point you only have access to your own employee and one employee with
the position TEAML-XX. Verify that the positions are valid and that the employments
are active.
- You are going to create three new employees: one production foreman and two
production workers. The employee numbers and person IDs should be registered
as described above.
Note: The following is the recommended workflow:
- Enter Emp No and Person ID.
- Enter First and Last Name. Save your changes.
- When asked to connect your employee to a position, please connect the
employees to the foreman and worker positions that you created previously.
Select Assignment type Permanent Assignment and set the position to be valid between
1/1/2002 and 31/12/2009.
- Do not connect your employee to an Application User. Select Cancel
in the dialog box that appears after you save the record.
- Click the Employment/Periods tab and enter a period, from
1/1/2002 until 31/12/9999. Select a value into the Employment Type field.
- Enter data in the other tabs.
- Try to use the wizard instead. You can create most of the basic data
relating to the employee using the wizard. Register as a minimum the employee number, person
id, name, employment period, and position assignment.
- After saving the employee records, populate
Employee. Can you access your employees?
Note: Access to employees is controlled by position.
Purpose: To learn how to end employment
Windows:
Terminate Employment
- Open
Terminate Employment.
- Select the employee who is leaving using the List of Values.
- If necessary, change the date of leaving.
- Enter the reason for leaving using the List of Values.
- Save.
Purpose: To be able to
go through the Organization Administration and Employee Administration main process flow.
Note: For exercises concerning organization codes and

In this exercise, the company experiences an increase in the order flow.
Management believes this increase is temporary and decides, for the time being,
to change to shift work in the production departments. Management decides that each production department will employ two more workers and
will prepare for the employment of another foreman. However, this will not happen until the order flow has stabilized.
The changes will have the following effects:
- For each production department, the organization structure must be adapted
because the costs for the new workers should be registered on a cost center, separate from the permanently employed workers. (The
finance department has already prep ared the cost centers, use 401.)
- The position structure should be adapted to contain a new part of the authority structure in the production departments. Make the following changes:
- Add a new position as foreman on the second shift.
- The production department supervisor (your own position) should hold the position of foreman on the second shift until a new foreman is employed.
- The supervisor must keep all the authority rights that were valid before the
organization changes took place.
- Add a new position for the new workers on the second shift.
- The position authority structure must be changed to meet the authorization needs for the newly employed workers on the second shift.
- Two more employees need to be registered. Remember that this is temporary
employment. This should be visible in the
Employee window.
Purpose: To assign the Work Locations and Work Location
Categories to an employee.
Windows:
Employee Files/ Employment/ Assignments/ Work Location
- Open the Work Location
tab.
- Select the employee and click New.
- Enter the work location and other information (enter work location
category, if required). You can use the List of Values to select a valid
value.
- Enter the validity period.
- Click Save.
- Check if the correct work location is shown in General tab and
Summary tab
according to the validity.
